Spring 2013 Conference Volunteer Form
We are always looking for Toastmasters who want to help us create a fun, educational, and well-run conference experience every year. You can volunteer your expertise before the conference and/or during the conference.
The Spring Conference takes place on Saturday, April 13, 2013. It will take place at the DoubleTree Hotel in Northern Akron near Summit Mall. The street address is 3150 W. Market St, Akron, OH 44333.
Below is a complete list of all the areas where you can volunteer.
Contests Committee
Contests can mean anything from being a judge, ballot counter, timer, contest master, chief judge and Sergeant at Arms.
Decorations / Hospitality Committee
Hospitality is taking care of our presenters, making sure the the snacks are refilled, and helping with the hospitality room so members can network.
District Store
We have a store on-site at every conference where we sell Toastmasters-related items. Members can purchase Speech Manuals, Toastmaster-logo items, and items to help them run their club more efficiently. We need people to help run the store during the day.
Facilities/Operations
Working with the hotel and our District sergeant at arms to make sure each room is set up properly and equipment is working.
Gifts Committee
All presenters and volunteers are given gifts. This committee is in charge of buying and distributing those gifts
Introducers
Every educational session opens with an introduction of the person who is delivering the session. You can volunteer to be the person who reads the speaker's introduction so their session starts with energy and enthusiasm!
Program Preparation
Preparing the program/conference guide. This includes adding the ads, making sure awards are listed, clubs are listed, educational sessions are listed, etc. This committee would edit the program. The program is then submitted to American Greetings for printing. This committee will make sure it is submitted and picked up on time.
Public Relations Committee
This committee is responsible for promoting the conference throughout Northeast Ohio and on the internet.
Raffle/Auction Committee
This committee has to solicit donations for auction and then run the auction during the conference.
Registration Desk
When a Toastmaster arrives at the conference, the first place he or she needs to stop is at the Registration desk to pick up his or her credentials for the day. We are looking for people to help out at the desk throughout the day.
Sergeant at Arms
Each educational session and general session needs a sergeant at arms to aid the facilities/operations committee. They are available to notify the facilities/operations comittee chair if room setup needs fixed (e.g. microphones are not working, not enough chair, projector is missing).
Arranging Sponsors
Help obtain corporate sponsors for our conference. This can include finding advertisers for the Conference Guide, arranging for monetary/cash donations, and finding other sponsors to help make the conference more affordable for everyone.
How much volunteer time is required?
The amount of volunteer time required varies by committee and the nature of the work. Submit your interest below, and the appropriate committee chairperson will contact you regarding the specifics.
